Description

RESPONSIBILITIES AND DUTIES:

  1. Receives and reviews employee timesheets and leave slips for accuracy and completeness, correcting any errors in accordance with established policies and procedures; ensures accuracy of payroll and submits for data processing.
  2. Calculates, posts, and audits payroll and timekeeping information, utilizing basic mathematical techniques in order to document and ensure the accuracy of employee work hour and leave benefits.
  3. Provides courteous, flexible and satisfactory customer service by responding to routine timekeeping and payroll inquiries, making changes to employees’ information, resolving discrepancies and/or clarifying procedures for employees, supervisors, managers and others, both in person and over the telephone.
  4. Inputs data into an automated system regarding payroll, timekeeping and Personnel Information to maintain accurate and up-to-date records.
  5. Maintains detailed files and employee records (e.g. all record-keeping systems, leave status, time cards, W-4s, etc.) for the purpose of ensuring accurate and complete documentation of payroll/personnel transactions.
  6. Assists auditors (i.e. annual auditing of payroll processes, etc.) for the purpose of ensuring accuracy of payroll information, in compliance with Federal and State rules and regulations.
  7. Performs other related duties as assigned and authorized to meet the Hopi Junior/Senior High School's goals and objectives.
  8. Ensures all personnel information are secure and held in confidence.
  9. Performs other duties as assigned.

 

KNOWLEDGE AND SKILLS REQUIRED:

  1. Knowledge of payroll administration, principles, practices and records management.
  2. Working knowledge of personal computers, School ERP Pro Infinite Visions software, Microsoft Word, Excel, Access, etc.
  3. Knowledge of Fringe Benefits administration, Laws and Regulations.
  4. Knowledge of Federal and State payroll tax liabilities, pre-tax laws and requirements.
  5. Excellent oral and written communication skills to compose general business correspondence, preparation of statistical reports, etc.
  6. Ability to prepare and maintain an automated payroll system, i.e. maintain accurate, complete and systematic records management of financial transaction.
  7. Ability to analyze and interpret fiscal and accounting records.
  8. Ability to communicate effectively and respond to inquiries regarding payroll procedures.
  9. Ability to establish and maintain positive working relationship with others.
  10. Knowledge of general school site rules and policy.
  11. Knowledge of Governing Board rules of conduct and policy.
  12. Skill in communicating orally and in writing.
  13. Skill in establishing and maintaining effective working relationships with others, requiring the ability to interact professionally and courteously with students, faculty, staff and the public.

 

QUALIFICATIONS:

  1. Associate's Degree in Accounting, Business Administration (12 credit hours in Business Administration), preferred or related field; AND
  2. Three (3) years’ work experience in payroll administration or financial/accounting data processing;

 

PREFERRED QUAILIFICATIONS:

  1. Hopi/Indian Preference in employment considered.
  2. Valid State Driver Licenses.
  3. Valid Arizona Department of Public Safety Fingerprint Clearance Card.
  4. Must successfully pass employment background checks within the last five years which include state, federal and local tribe.
